Global Replace is Awesome!

I had forgotten...

So a couple of days ago I was building a group with many different criteria, one criteria was Field: Contact.Status, Value: Active.  My company has been using SalesLogix since version 1, and over the years and multiple upgrades the way values are specified has changed.  Back to my group...

What I came up with as I was building my group were two different active values for Contact.Status: Active and 1. Active.  I thought to myself, what a pain.  I now need to specify both values, and do so correctly, so that my group ends up correct.  I won't lie, this took me more than one try, but finally I got it.  At last I have my completed group in front of me.  After I had finished I proceeded to complain to my coworker (Dale Richter) about what a pain it was to have two different values signifying an active contact.  He said to me "why didn't you use Global Replace"?  Good question.  I had totally forgotten what a great help this tool can be.  With so many features and functions available it is easy to forget all of the options we have to make our life easier.  I decided to conduct a Global Replace for these values so that I wouldn't run into this problem with future groups.  Here's how:

  1. Create a Group of Contacts with the status: 1. Active (Or whatever your status is.  Make sure when you are building your group that you drag-and-drop Status onto the Layout tab so that it shows in the list view of your group).
  2. Once the Group is created choose Tools => Maintenance => Replace Data
  3. Make sure Contact is the radio button chosen, this is a Contact group after all.  Click Next.
  4. Choose Replace with specified value
  5. Chose your field from the pick list.  In this case Contact.Status
  6. Enter the new value.  For this group it will be Active (we are changing all of the 1. Active to Active).  Click Finish.
  7. You can now replace your group one-by-one or just replace all.  I like to do a couple individuals first so I know it is correct and then I will replace all.
  8. After replacing all your group should be empty.  Delete your group.  FINISHED!

I am happy to say I love my job! Everyday there is a new challenge and something new to learn, it keeps things interesting. I was very happy when we started Good Training because it gave me an opportunity to help people and share knowledge. Outside of the office I enjoy being active. When weather permits you may catch me riding my bike around the lakes of Minneapolis or hiking in Northern Minnesota. In the winter I get out snowboarding as much as possible and I always try to take a trip to the mountains. I made it out to Bridger Bowl in Bozeman, MT at the end of February 2008 and it was a fantastic time! Year round I participate in dance and yoga classes to mix things up. I love watching movies and you could say I may have seen too many. :) I also have a passion for reading - if I find a good book it can consume all of my free time.
